Using the training register (SFP 5.1)

See each person's status against every training Requirement, filter the register and export it to Excel.

For: Admins and Managers

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

The Register gives you a person-by-person view of training: one row per person and one column per Requirement, so you can see exactly where each member of your team stands before your verification visit.

Read the training register

Each cell shows that person's status for that Requirement:

  • Complete: a tick

  • Overdue: a cross

  • Not started: yellow

  • Pending approval: purple

  • Not applicable: blank, because the Requirement doesn't apply to this person

The filters show more detailed statuses than the grid, including In progress, Pending assessment, Expiring and Expired.

View a Requirement's details

  1. Click a Requirement's column header to open its detail panel

  2. Use the three-dot menu to Edit, Duplicate or Assign more people

Note: Archiving a Requirement can't be undone. To bring it back, Duplicate the archived Requirement, which creates a new copy with the same Activities and Assignments.

View one person's progress on a Requirement

  1. Click the cell where the person and the Requirement meet

This shows the Requirement's status, expiry and completion dates, and which Activities were done. It's read-only. To mark someone complete, they need to complete the Activity themselves, or a Tablet Manager, Manager or Admin can complete it on their behalf. See Managing your team's training from the tablet.

Filter and search the training register

  1. Use the search bar to search rows and columns, Requirement names only, or assignee names only

  2. Use the Status filter for Not started, Overdue, In progress, Pending approval, Pending assessment, Completed, Expiring or Expired

  3. Filter by Reporting category (categories set at group level show a small dot)

  4. Use More filters for Assignment type, Job Role, User Group, expiry date, completed date or completion reason

  5. Use the view options on the right to switch between Compliance status, Validity view, Competency level and Full records

  6. Click Clear all to reset every filter

Understand completion reasons

Some completions show a reason, visible in the Completion reason filter, the Full records view, and a person's Requirement pop-up:

  • Excused from completion: the person was already assigned when the Requirement was created, and auto-exempt was turned on.

  • On their behalf: a Tablet Manager, Manager or Admin completed it for them, from the Register, the person's training record or the tablet.

  • From an imported record: the person already had matching evidence (a completed form, resource or approved certificate) from before the Requirement was created, or it came in through a bulk import.

Export the training register

  1. Open the three-dot menu

  2. Select Download as Excel

The file includes a header block (business name, view, who exported it and when, and active filters), the full person-by-Requirement grid, and a completion percentage for each Requirement.

Note: Print as PDF isn't available for the Register yet. You can export one person's training record to PDF instead.
