Managing your team's training from the tablet (SFP 5.1)

How Tablet Managers, Managers and Admins open anyone's training record with their PIN, complete training on someone's behalf, run Roll Call and record competency assessments.

For: Tablet Managers, Managers and Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

From the shared kitchen tablet, a Head Chef or Food Safety Manager can open anyone's training record, complete work on their behalf, mark attendance at an in-house session and sign off competency. Your PIN tells the tablet you're allowed to do this, even though the tablet itself is logged in as a shared account.

Who can manage other people's training

Access depends on the Access Level of the person who enters their PIN, not the account the tablet is logged in as.

  • Tablet Manager: a Staff Record that doesn't need a login. Can open anyone's training record, run Roll Call and record competency assessments using their PIN.

  • Manager and Admin: Users who can also log in to the Admin Console. They have the same training access on the tablet when they verify with their PIN.

  • Tablet: can only open their own training record.

Tip: If your Head Chef runs training but doesn't need the Admin Console, set their Staff Record to Tablet Manager in Staff & Users.

Open a team member's training record

  1. Open the menu on the tablet

  2. Tap Training to see everyone's training records

  3. Tap the team member whose record you want to open

  4. Tap your own name in the verification list

  5. Enter your PIN

Their training record opens.

Complete training on someone's behalf

Use this when a team member completes a quiz or form with you, or when you're recording work they've already done.

  1. Open the team member's training record (see above)

  2. Tap the Requirement

  3. Tap the Activity

  4. Complete the Activity

The completion counts toward the team member's Requirement, because it's credited to the training record you're in, not to the person who entered their PIN.

Important: This is different from regular forms in Safe Food Pro, where a form is credited to the person who entered their PIN. Inside Training, the open training record always decides who gets the credit.

Mark in-person training attendance with Roll Call

Roll Call only applies to In-Person Training – In-House Activities, such as a new starter induction run in your kitchen.

  1. Open the menu on the tablet

  2. Tap Training

  3. Tap the Roll Call button (the raised-hand icon) in the top right corner

  4. Tap your own name in the verification list

  5. Enter your PIN

  6. Tap the in-house training Activity you're marking attendance for

  7. Tap each person who attended. You can select several people at once

  8. Tap Mark attendance

Each person's training record updates straight away. Marking someone present more than once doesn't create a duplicate. It moves their validity period forward from the most recent session.

Record a competency assessment

This only appears on Requirements with Requires Competency Assessment turned on, once every other Activity on that Requirement is complete and approved.

  1. Open the team member's training record (see above)

  2. Tap the Requirement showing Pending assessment

  3. Tap the assessment step

  4. Choose a Competency Level: Needs retraining, Needs supervision, Can work unsupervised or Can train others (or others)

  5. Save the result

To change a level later, repeat these steps and choose a different level. Nobody is notified when a level changes, so let the team member know.
