Training settings (SFP 5.1)

Manage your Reporting Categories and Competency Levels, and turn on External Requests for training.

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

Use Training settings to manage the two building blocks that shape how Requirements are organised and assessed: Reporting Categories and Competency Levels. This is also where you turn on training by email.

Manage your Reporting Categories

Reporting Categories group your Requirements for filtering and reporting in the Matrix and Register. New accounts start with a default set: Getting Started, Sourcing & Receiving, Preparing & Cooking, Serving & Displaying, Cleaning & Maintenance, Management & Compliance and Specialist Cards.

  1. Go to Training in the Admin Console

  2. Open Training settings

  3. Go to the Reporting categories section

  4. Check the Used by column to see how many Requirements use each category

  5. Edit a Category name directly to rename it

  6. Click Add category to create a new one

Important: Deleting a category that's in use archives every Requirement under it, along with their Activities and Assignments. This can't be undone. You'll need to type "delete" to confirm. Move those Requirements to another category first if you want to keep them active.

Manage your Competency Levels

Competency Levels are used on Requirements with Requires Competency Assessment turned on. Once someone finishes every Activity on that Requirement, their status becomes Pending assessment, and a Tablet Manager, Manager or Admin gives them a Competency Level on the tablet.

The default levels are Needs retraining (red), Needs supervision (brown), Can work unsupervised (mint) and Can train others (lavender).

  1. Go to Training in the Admin Console

  2. Open Training settings

  3. Go to the Competency levels section

  4. Select Add levels to create a new level

  5. Give it a name (for example, "Can run the pass") and a colour tag

  6. Select Delete to remove a level you no longer need

Note: Default Competency Levels exist at both group and organisation level. An organisation can't edit or delete group Competency Levels, and organisation levels don't appear in the group Admin Console.

Turn on training by email

Staff Records without a login can complete their training by email through External Requests. External Requests are available on the Premium plan.

  1. Go to Training in the Admin Console

  2. Open Training settings

  3. Turn on Send training to staff without a login as external requests

See Sending training through the External Portal for the full setup, including adding email addresses to Staff Records.
