Creating a training requirement (SFP 5.1)

Step-by-step: create a Requirement, add Activities, assign it to a Job Role, User Group or Supplier, and make it Active.

For: Admins and Managers

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

A Requirement sets out the training, sign-off or certificate your team needs, and tracks who's done it. This article walks through creating one from scratch, using an allergen awareness Requirement for your Front of House staff as the example.

Create a training Requirement

You'll need the Job Role, User Group or Supplier you're assigning to set up first. It doesn't need any members yet.

  1. Open the Admin Console > Training > Requirements

  2. Select Add Requirement > Enter a Requirement Name (for example, "Allergen awareness") and a Description of what needs to be done

  3. Select a Reporting Category (for example, Serving & Displaying), or create a new one

  4. Set the validity. Leave Validity Period is inherited from an Activity on to base it on the Activities you add next, or turn it off to set Valid For, Expiry Reminder and Grace Period yourself

  5. Turn on Requires Competency Assessment if a Tablet Manager, Manager or Admin should sign off the person in person once the Activities are done

  6. Select Next

  7. Choose an Activity Type. The default is Upload – Certificate, Ticket or Licence Proof

  8. Fill in the Activity's fields. For an upload, that's the Document Name, Instructions, a Save to Location folder in your Resource Library, and whether completing it should Auto Complete Requirement

  9. Select Add Activity to add another Activity, or select Next

  10. Select Assign

  11. Choose Required or Optional, and turn on Critical Requirement if it should stand out as urgent

  12. Search for who the Requirement applies to by Job Roles, User Groups, People or Suppliers (for example, the "Front of House" Job Role), then select Assign

  13. Choose whether to auto-exempt all existing assigned staff

  14. Select Save

Important: Auto-exempt marks everyone already in that Job Role or User Group as complete, even if they haven't done the training. Only people added from then on need to complete it. Use it for things like a new starter induction, not for training your current team still needs.

Note: Other Activity types are Accept or Sign a Policy, Online Training (In-App quiz or External Provider), In-Person Training (In-House or External Provider), Complete Form and Review Resource. See Activity types and what they do.

Make the Requirement Active

A new Requirement is saved as a Draft, and nobody can see it until you activate it.

  1. Go to the Requirements tab

  2. Open your Requirement

  3. Change its Status to Active

Assigned staff now see it on their training record on the shared tablet. If External Requests are turned on, staff with an email address on their Staff Record also receive it by email once it's due.

Note: Once a Requirement is Active and someone has completed it, it can't go back to Draft. To make major changes, use Duplicate to create an editable copy.
