Managing training across your group (SFP 5.1)

Create training Requirements at group level, choose which organisations receive them, and view one organisation's Register.

For: Group Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

If you manage several sites or franchises under one group, the group Admin Console lets you create training Requirements once and share them across your organisations, instead of setting them up at each site.

Find Training in the group Admin Console

Open the group Admin Console and select Training. You'll see:

  • Matrix: your group-level Requirements against your people. It stays empty until you create group-level Requirements.

  • Requirements: create and manage group-level Requirements with Add Requirement.

  • Register: comes with an organisation filter, and fills in as soon as organisations in your group have training.

  • Settings: manage group-level Reporting Categories and Competency Levels.

View one organisation's training

The group Register works like the organisation Register, with people down the rows and Requirements across the top. Use the organisation filter to choose which organisation to show. You can view one organisation at a time.

Note: The organisation filter only lists organisations with access to Training. If one doesn't appear, it hasn't been given Training access yet.

Assign a group Requirement from the Matrix

  1. Find the Requirement's column in the Matrix

  2. Select the cell where it meets a Job Role, User Group or person

  3. Choose Required and Critical, Required, Optional or Not Required

Assign a group Requirement from the Requirements page

  1. On the Requirements page, open the Requirement

  2. Select the three-dot menu in the top right

  3. Select Assign

  4. Search for who it applies to

  5. Select them

Assign a group Requirement from the Assignment tab

  1. On the Requirements page, select the three-dot menu next to the Requirement

  2. Select Edit

  3. Go to the Assignment tab

  4. Select Assign

  5. Select who it applies to and choose Required, Optional and so on

  6. Select Save

Choose which organisations receive a Requirement

By default, a group-level Requirement flows down to every organisation in your group once it's Active, so each site can start assigning it. This suits franchises where every site works the same way. To control it per organisation:

  1. Go to the Organisations page and find the organisation

  2. Select the pencil icon

  3. Select the Organisation Requirements tab

  4. Use the Selected column to choose which group Requirements this organisation receives. A green tick means it receives it

Note: Changes on the Organisation Requirements tab save straight away. Deselecting a Requirement removes it from that organisation.

Important: If you don't want Requirements to flow down to your organisations by default, contact support to change your group's settings.

Managing training for people who have access to multiple accounts

If one of your staff has access to multiple accounts (like a Hotel manager with access to multiple kitchen accounts), and they complete their training in one account, this is where the training will live.

Completing a Group requirement in one organisation does not complete it in others. We recommend ensuring that their training is completed from one organisation.
