Using the training matrix (SFP 5.1)

See and change who each training Requirement is assigned to across Job Roles, User Groups, Suppliers and people.

For: Admins and Managers

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

The Matrix gives you a grid view of who's assigned to what, so you can see and change Assignments at a glance without opening each Requirement. It's the quickest way to check that every Job Role in your kitchen has the right training.

Read the training matrix

  • Rows show Job Roles, User Groups, Suppliers and directly assigned people. Only those with at least one Assignment appear, so this isn't a full staff list.

  • Columns show Requirements, grouped under their Reporting Category.

Each cell shows the Assignment using one of these:

  • Required & Critical: a solid circle with an exclamation mark

  • Required: a solid circle

  • Optional: a hollow diamond

  • Not required: a blank cell

  • Set at group level: a small dot next to a role or Requirement

  • Draft Requirement: a dashed circle next to the Requirement name

Set or change an Assignment

  1. Click any cell, filled or empty, to open the Assignment window

  2. Set it to Required, Optional or Not required

  3. Turn on Critical requirement if needed

  4. Click Assign to save

Hover over a cell to see a quick summary, such as "Required for 1 person with job role Line Cook", without opening it.

Note: If a person is covered by more than one Assignment with different settings, the higher-priority setting applies automatically: Critical, then Required, then Optional. For example, if their Job Role makes a Requirement Optional but their User Group makes it Critical, it's Critical for them.

View a Requirement's details from the matrix

Click a Requirement's column header to open its detail panel. It shows the Work Ready Score, a breakdown of assignees and the Activities, plus a three-dot menu to Edit, Duplicate or Assign more people.

Filter and search the training matrix

  1. Use the search bar to search rows and columns together, Requirements only, or assignees only

  2. Filter by Assigned to (Job Roles, User Groups, Suppliers or direct assignments) or by Reporting category

  3. Use More filters for Assignment type or Requirement status (Draft, Active, On Hold)

  4. Click Clear all to reset every filter

Read the Work Ready Score widget

The widget in the top left shows two scores: your Filtered score (purple) and your overall business score (Green). Optional Assignments don't count toward either.

Note: Reporting works at Requirement level, not by Activity type. If a Requirement mixes a quiz and an in-house session, everything still rolls up to that one Requirement.
