Activity types and what they do (reference) (SFP 5.1)

What an admin sets up, what staff do, and what marks each training Activity type complete.

For: Admins and Managers

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

Every Requirement is made up of one or more Activities. This reference explains each Activity type: what you set up, what your staff do, and what marks it complete.

Activity types at a glance

Upload – Certificate, Ticket or Licence Proof

Document Name; Instructions (default: "Please upload a clear copy of your certificate, ticket, or license. You may also need to include the back view."); Save to Location (a folder in the Resource Library)

Uploads a photo or file of their certificate, including the back if needed

The upload shows as Pending approval until an approver approves it, then the Activity is complete. If it's rejected, the Activity shows the rejection reason

Accept or Sign a Policy

Select Policy (from the Resource Library, so it must be uploaded first); Valid For (Forever or a set period); Require Signature

Opens and accepts the policy, and signs if a signature is required

When the policy is accepted, and signed if required

Online Training – In-App

Select a Quiz (only forms with Quiz mode turned on appear, one quiz per Activity); Instructions; Valid For; Resit Stand-down Period (how long to wait before retrying after a fail)

Completes the quiz

Passing the quiz

Online Training – External Provider

Training Course Name; Instructions; one or more course options, each with a Training Provider Name and Training Course Booking URL

Completes one of the listed external courses, then uploads proof of completion

Uploading proof of completion. The certificate's own expiry date can set the Activity's validity, as there's no Valid For field

In-Person Training – In-House

Training Name; Instructions (default: "Once attendance has been confirmed, this activity will be marked as complete."); Valid For

Attends the session in person

A Tablet Manager, Manager or Admin marks attendance using Roll Call on the tablet. The staff member can't mark themselves as attended

In-Person Training – External Provider

Training Course Name; Instructions; one or more course options, each with a Training Provider Name, Booking URL and optional Duration

Attends one of the listed external courses, then uploads proof of completion

Uploading proof of completion. The certificate's own expiry date can set the Activity's validity

Complete Form

Select a Form (any form, not just quizzes); Instructions; Valid For

Completes and saves the form

Saving the form. There's no grading or resit, as it isn't a quiz

Review Resource

Select a Resource; Instructions; Valid For; Require Signature

Opens and reads or watches the resource, and signs if required

Closing the resource after opening it from their training record

Note: A person can be marked as attended more than once without creating a duplicate completion.

Who an Activity is credited to

An Activity is always credited to the training record it's completed in. On the shared tablet, that's the record that was opened, even if a Tablet Manager, Manager or Admin entered their own PIN to open it. This is different from regular forms, which are credited to the person who entered their PIN.

How Activities are named

  • You enter the name: Upload, Accept or Sign a Policy, and both External Provider types

  • The name is copied from the item you select: Online Training – In-App (the quiz name), Complete Form (the form name) and Review Resource (the resource name)

How signatures work

Where Require Signature appears (Accept or Sign a Policy, Review Resource), the signature is captured separately rather than added inside the document. Admin Console users can see everyone who has signed.
