Retiring a training requirement (SFP 5.1)

When to archive, delete or put a training Requirement on hold, and how to bring an archived one back.

For: Admins

Note: Training Management is part of the Training Management Module. It's included in some plans and available as an add-on on others. To activate it, contact your Customer Success Manager or [email protected].

When a training Requirement is no longer needed, such as a supplier course you've stopped using or a procedure that's been replaced, there are two very different ways to remove it. One keeps your records for your verifier, and the other deletes everything permanently.

Decide which option you need

Use Archive to retire a Requirement that was really in use. This is almost always the right choice. Use Delete only for a Requirement created by mistake or for testing. Use On Hold if you only need a temporary pause.

Archive a Requirement

Archiving removes the Requirement from active use but keeps every completed record. Once someone's completion expires, it can't be renewed.

  1. Go to Training

  2. Open the Requirements tab

  3. Find the Requirement and open it

  4. Change its Status to Archived

Important: Archiving is one-way. There's no unarchive option. See below if you need it back.

Bring back an archived Requirement

  1. Open Requirements

  2. Change the Status filter to Archived

  3. Click the three-dot menu next to the Requirement

  4. Select Duplicate. This creates a new copy with the same Activities and Assignments

  5. Change the new copy's Status to Active

Note: If someone's evidence is still within its validity period, it automatically completes the matching Activities on the new copy, so people don't need to redo work.

Delete a Requirement

Deleting is permanent and removes the Requirement and all of its completion history. It can't be recovered with Duplicate. Use it only for mistakes or test data.

  1. Find the Requirement and open its three-dot menu

  2. Select Delete

  3. Type Delete to confirm

Important: If there's any chance you'll need the records, for example for a verification visit, archive rather than delete.

Pause a Requirement temporarily

Use On Hold if a training provider is temporarily unavailable or the content needs updating. It stays visible, but nobody can complete its Activities until you make it Active again.

  1. Find the Requirement and open it

  2. Change its Status to On Hold
