Archiving and Restoring Users

Learn how to archive a departing staff member in Safe Food Pro and restore their account and login access if they return.

For: Admins

When a staff member leaves, you can archive their account in Safe Food Pro. Archiving hides the account from your active staff list without permanently deleting their records or form history.

Important: Archiving a User will permanently delete any Resources associated with that account. This cannot be undone.


How to Archive a User

  1. Log in to the Admin Console

  2. Navigate to Staff & Users

  3. Click the three-dot menu next to the relevant user

  4. Select Delete

Note: Despite the label, this action archives the account β€” it does not permanently delete it. The user's form history is preserved.


How to Restore an Archived User

  1. Navigate to Staff & Users

  2. Click More Filters

  3. Under Miscellaneous, enable Show Deleted Profiles

  4. Click Apply

  5. Click the three-dot menu next to the archived profile

  6. Select Restore

The profile will be restored as a Staff Record only. If the person also needs login access, continue with the steps below.


How to Restore Login Access

  1. Click on the restored Staff Record

  2. Click the three-dot menu inside their profile

  3. Select Add Login Access

  4. Enter their email address and a password

  5. Click Save
