Staff Training Overview

Track and manage staff food safety training in Safe Food Pro — record inductions, procedure training, and schedule staff reviews from the Admin Console.

Food safety regulations require you to demonstrate that your staff have been trained and understand how to produce safe food. Safe Food Pro gives you a set of training forms to record and track this, all of which can be customised to suit your business.

You can also use a Quiz to test your staff's understanding of the training they have received.


Training Forms

Safe Food Pro includes three built-in training forms:

  • Induction — covers the basics all staff and visitors need to know before handling food

  • Specific Training of Business Procedure — records training on a specific process, section, or procedure

  • Staff Qualifications — records additional descriptions or images of qualifications for a staff member

All three forms can be edited to suit your business. You can find them in the Form Library section of the Mobile App.


Induction Form

The Induction form covers the core food safety basics that all staff and visitors need to understand before working in your kitchen. This includes:

  • Why and how to wash hands correctly

  • Why wearing clean clothing is important

  • How to report illness

  • Handling food that could make people unwell

  • How and why cleaning and sanitising matters

  • Keeping foods separate — including allergen management, raw vs cooked food separation, and chemical storage

The collapsible panels within the form can be edited to make them specific to your business.


Specific Training of Business Procedure

Use this form to record training on a specific process, resource, or area of your Food Control Plan. Some examples:

  • Training staff on a specific FCP section (e.g. Making & Cooking) — select the relevant section from your Resources and describe how the training was delivered

  • Introducing a new cleaning procedure — attach the procedure as a Resource, then record how staff were trained on it

  • Menu allergen changes — upload the updated menu as a Resource and document what allergens were covered

Tip: If the training references a document or video, upload it as a Resource before completing the form so you can attach it directly. See Adding a Resource.

How to Complete a Training Form on the Mobile App

  1. Log in to the Mobile App

  2. Tap the green Plus button to access Ad Hoc Forms

  3. Select the relevant training form

  4. Choose the staff member being trained and the applicable FCP section

  5. Enter a specific description in the Brief Description of Training field — this text appears in the training report on the Admin Console

  6. If a Resource was used, select it from the list — tap the view icon to let the staff member read or watch it during the session

  7. Have both the staff member and the person conducting the training sign the form

  8. Tap Save


Viewing Completed Training

There are three ways to view completed training records:

  1. Navigate to Reports and open Completed Forms — filter by form type to find training records

  2. Navigate to Reports and open Summary Reports — the Staff Training Summary Report shows a consolidated view of Induction and Specific Business Procedure completions

  3. Navigate to Staff & Users and click on a staff member to open their profile

  4. Select the Completed Forms tab

  5. Filter by Training to view all training records for that individual


Scheduling a Staff Review

You can set a review date on a staff member's profile to ensure their training stays up to date.

  1. Navigate to Staff & Users

  2. Click on the staff member to open their profile

  3. Click the three-dot menu and select Edit Details

  4. Enter a Review Name (e.g. Food Safety Review)

  5. Set the Review Date

  6. Click Save

Once saved, the review will appear in the Certificates & Permits section of your Dashboard, and you will receive a reminder when it is due.


Completing a Staff Review

When a review is due, complete the Staff Review Ad Hoc Form to record the session and set the next review date.

  1. Log in to the Mobile App

  2. Tap the green Plus button to access Ad Hoc Forms

  3. Select Staff Review

  4. Complete the form and set the next review date

  5. Tap Save
