Turning a form or resource into a QR code poster or image (SFP 5.1)

Create a QR code poster or image so your team can open a form or resource straight from the wall of your kitchen.

For: Admins and Managers

Put a QR code where the work happens, such as the chiller door or the dishwasher, and your team can scan it to open the right form or resource straight away. It's handy for temperature checks, cleaning schedules and allergen information.

Create a QR code for a form or resource

A form needs Form Library turned on in its settings before its QR code will work. See the next section if it isn't.

  1. Log in to the Admin Console

  2. Go to Forms or Resources

  3. Find the form or resource you want a QR code for

  4. Click the three-dot menu next to it

  5. Select Create QR code

  6. Choose Image or Poster

  7. Select Download for an image, or Create for a poster

Turn on Form Library for a form

This applies to scheduled forms too, such as daily, weekly or monthly forms.

  1. Log in to the Admin Console

  2. Go to Forms

  3. Click the pencil icon next to the form

  4. Scroll down to Form Settings

  5. Turn on Form Library

  6. Click Save

Important: Turning on Form Library also adds the form to the ad hoc form list (the green plus) in the Safe Food Pro app, so your team can start it at any time, not just when it's scheduled.

Choose the right QR code format

  • Poster: a Safe Food Pro poster with your own heading and instructions, ready to print and put up

  • Image: a QR code on its own as a PNG file, to add to your own signage

What happens when someone scans the QR code

Scanning the QR code opens the form or resource in the Safe Food Pro app. To work, the device needs the Safe Food Pro app installed and logged in to the account the QR code was created in, such as your shared kitchen tablet.

Note: A form opened from a QR code is completed the same way as any other form, so staff still select their name and enter their PIN.

Use QR codes across a group

A QR code created in one organisation only works for that organisation. If someone from another organisation in your group scans it, they'll see an error.

If your group shares forms or resources across organisations, create the QR code from the Group Admin Console instead, using the same steps. Anyone with access to that form in any of your organisations can then scan it.
