Sending a form to someone to edit (SFP 5.1)

Send a started or completed form to someone else so they can add their part, and track the messages you've sent.

For: All Users

Some forms need input from more than one person. For example, a Line Cook starts a customer complaint form, and the Head Chef adds what was done about it. Instead of the next person searching for the right form, send it straight to them so they can carry on where you left off.

Send a form for editing

  1. Open the Safe Food Pro app

  2. Start a form, or open one that's already been started or completed (open the menu and tap Saved for older forms)

  3. Tap the three-dot menu in the top right corner

  4. Select Send form to edit

  5. Select Add Recipients and choose who to send it to

  6. Add instructions telling them what they need to do

  7. Tap Send

Note: You can send to any Staff Record, including people without a login. Users appear in the list too, because every User also has a Staff Record.

Note: A form can only be sent to one person at a time for editing, so two people can't make conflicting changes.

Note: The recipient can open the form even if it's restricted to a User Group they aren't in.

Edit a form you've been sent

  1. Open the Safe Food Pro app

  2. Open the menu

  3. Tap Messages

  4. Tap the message

  5. Tap the attached form to open it

  6. Make your changes, or review it

  7. Save the form

Note: On a shared tablet, Messages shows every message sent to anyone in your account, so look for the one addressed to you.

When you've done your part, you can send it on to the next person the same way.

Whoever started the form keeps access to it after someone else continues it. Completed forms and reports show who started the form and who last updated it.

Track the forms you've sent and received

In the app, open the menu and tap Messages. In the Admin Console, click the message icon at the top of the page, next to your name.

Note: In the Admin Console, you only see messages you sent or received. This applies to Admins too. On a shared tablet, the app shows every message in the account.
