What to do when something goes wrong

In the event that something goes wrong in your kitchen, it's vital that you understand how Safe Food Pro can help you record and report on these incidents. When an auditor does an inspection, they will also want to know what you did.

There are a few features that work together to give you the tools to manage incidents, accidents, customers complains and staff sickness:

  1. Forms

  2. Tasks (Corrective actions)

Step 1: Complete the form and detail what went wrong

The first step is to complete the right form for the event. Safe Food Pro has default templates you can use out of the box.

  1. Customer Complaint

  2. Incident report

  3. Staff sickness

If you are part of a franchise or group that has created fully customised forms and don't use our default forms, your forms and processes will depend on what you have set up.

While the forms or form names may differ, the process of recording and creating corrective actions is still relevant.

Find and complete one of these forms:

  1. Log into the mobile app

  2. Tap the green + icon in the bottom right-hand corner to open your form library (ad-hoc forms)

  3. Find and tap on the form in the list (or use the search bar)

  4. Complete the form

Step 2: Adding a Corrective Action to the form:

The second step is to create a corrective action so you can record what was done to fix the issue. Safe Food Pro recommends creating the corrective action within the form so there's a clear audit history and link to the original form detailing the issue.

You also have the option to create a standalone corrective action, but this breaks linkage to the original form.

  1. While completing the Form, tap the note icon in the bottom left-hand corner to open a note field

  2. Add the action text to describe what needs to be done

  3. Tap Add a Corrective Action

  4. Follow the prompts to complete the corrective action

A corrective action will then be attached to that form. When exporting your reports, you will be able to have a clear audit-trail of what started that corrective action.

Step 3: Complete the corrective action

Log what was done to amend the issue.

  1. Log into the mobile app

  2. Tap the menu icon in the top left-hand corner

  3. In the menu, tap Tasks (Actions)

  4. Tap on the action (you'll be prompted to find your name and enter your PIN to verify your identity)

  5. Use the notes field to detail what was done

  6. Update the status to "Done"

Note on Corrective Action privacy: if you are an Admin, Manager, or Tablet Manager, you can view any action regardless of whether it's assigned to you or not.

Tablet level staff must be assigned the task in order to view it. They will be blocked from viewing it by an error message.

Step 4: Finding the issues at a glance

If you have added a corrective action to a form/note, you can easily track them down from your Admin Console. This will likely be where you are showing your auditor your paperwork.

  1. Log into the Admin Console

  2. Go to Reports > Completed forms

  3. Change your date range

  4. Search for the form name

  5. Any form with a Corrective action displays a red corrective action icon in the Action(s) column

  6. Click the view icon to open the form. Your Corrective Action and what was done will be stamped at the top of the completed form.
