Set Up Your Staff & Users

Create the accounts your team will use to log in and complete forms, whether they're sharing a tablet or using their own device.

For: Admins


There are two ways your team can use Safe Food Pro: on a shared tablet in the kitchen, or on their own device. Choose the option that fits your business — most kitchens use a shared tablet.


Option 1: A shared tablet

Create a single Tablet User login that stays permanently signed in on the tablet. Staff select their own name and enter a 4-digit PIN when they complete a form — no individual logins needed.

  1. Go to Staff & Users in the Admin Console.

  2. Click Add User.

  3. Enter a generic email address for the tablet (e.g. [email protected]) and a name like "Kitchen Tablet".

  4. Set the Access Level to Tablet.

  5. Click Save, then download the Safe Food Pro app on the tablet and log in with those details.

You'll then need a Staff Record for each team member so they can select their name and sign off forms with a PIN:

  1. Click the green Add icon in Staff & Users.

  2. Select the drop-down arrow next to Add User. In the drop-down select Add a staff member

  3. Enter their first and last name, and set a 4-digit PIN.

  4. Click Save.

Option 2: Their own device

This option is best suited if your team need to complete records on their own devices, like a phone. It ensures they can log in with their own details.

  1. Go to Staff & Users in the Admin Console.

  2. Click Add User

  3. Fill in their details and create a password.

  4. Set their Access Level as appropriate for what they need to do.

  5. Click Save.

They'll use this email and password to log in the first time, then set their own 4-digit PIN for completing forms.
