Filling in Forms on the App

You need to be able to show the verifier records of your daily checks. Safe Food Pro uses forms to capture this information.

When you are signed into Safe Food Pro on a mobile device it will display a list of forms relevant to your business. If you have set a time for these forms to be completed the forms will be displayed in this order.

Your business forms are divided into those that need to be completed TODAY, THIS WEEK, or THIS MONTH. 


Completing a Form

Below you can see that I am due to complete my  Temperature Check (Chillers & Cold Cabinets)' form. 

  1. Click on the Form
  2. Answer the questions. These may be of the format: "Yes/No", numeric, text, multi-choice, etc. 
  3. Click SAVE 
  4. Select your Username
  5. Enter your PIN
  6. You will see your signature displayed and the form will close and return to the Diary screen

When you complete a form, it will be greyed out on the Diary Page indicated by a little tick icon. However, forms that have been started, but not completed, will be indicated by an orange dot. 

Note: Different staff members can complete questions in the same form. When a question is answered by one staff member the form can be saved as a draft and completed later by another staff member.

Ad Hoc Forms 

Having Daily/Weekly/Monthly forms are great, but what about when you need to log an incident, something that isn't scheduled per-se. This is where Ad-Hoc forms come in handy. All other forms will be set as Ad Hoc (as and when needed), this means they are sitting in a form library on the app and can be completed at any time of the day, as many times as you need to. 

Some of the forms you may find in Ad Hoc include: 

  • Receiving a Delivery
  • Staff Sickness
  • Troubleshooting 
  • Staff Training and more...

Hiding Completed Forms:

If you complete a lot of daily forms you have the option to 'Hide Completed Tasks', so that when a form is completed it is no longer shown on your screen. You can do this by: 

  1. Logging into the Mobile/ Tablet
  2. Open the Menu
  3. Click Settings
  4. Click Hide Complete Task

Blue Notes: You can add a note to a form to point out an issue or explain something about the answers.  To add a note: Click the blue button at the bottom left. These "Blue Notes" appear on the manager's dashboard in the Administration Console.

Follow-up Actions: You can add a corrective action to a Blue Note. This is useful when follow-up is needed. For example, if you find a pest during your daily pest check, add a blue note with a corrective action to call pest control and complete the visit form. Assign this form to the staff member responsible. 
Required Questions: Mandatory fields are marked with a red corner. You can save a form even if not all questions are answered. At the form's bottom, a completion bar shows the answered required questions out of the total. It starts orange and turns green once all required questions are answered.
