Staff & User Management

5.0 brings a redesigned Staff & User experience that puts your most important information front and centre.

Key improvements:

  • View all completed forms directly from a staff profile

  • Staff Profiles completely re-designed

  • Manage tasks from within a profile

  • Easily track expired certificates

  • Bulk actions for staff management and task assignment

  • Upload profile pictures for team members

  • New filters and improved search


Job Roles (formerly Positions)

"Positions" is now Job Roles — a smarter, more flexible way to group your team. Like User Groups, Job Roles let you assign tasks, forms, and resources to multiple people at once.

To get started: Staff & Users → Job Roles → Migrate Job Roles

  • Use Bulk Actions to merge, create, and assign Job Roles in a few clicks

  • User Groups have moved from My Business to Team & Users\

Job Roles are the foundation of a full Training Matrix coming to Safe Food Pro — more on that in the months ahead.


Offline Resources

Mobile users can now download resources for offline access — no cell reception needed. Admins can flag recommended documents, which appear as prompts on the mobile app.

Also new on mobile: filter resources by expired, downloaded, or recommended.


Single Sign-On (SSO)

SSO is now supported. To enable it for your account, contact [email protected], or use the chat icon in the bottom right.


Task Details in Exported PDFs

Task status is now included in completed form PDFs — so the full picture is preserved when you export.


AI Form Report Summaries

Generate summaries of form data with the power of AI to get insights into trends, anomalies and site specific data. Excited to hear your thoughts on this!


Quiz Improvements

Two new answer types for Quiz forms:

  • Signature Capture — collect a written signature inline

  • Selected Resource — attach a document or link (e.g. reference material for the quiz)

Bug Fixes:

Breaking Bugs

  • Fixed issue where escalations configured to be sent to multiple phone numbers simultaneously were failing to send

  • Fixed an issue where users weren't receiving push notifications for workflows and approvals

  • Fixed issue that caused all emails listed in a Form to be cleared if one recipient unsubscribed from emails

  • Fixed issue with users receiving push notifications intended for users in an organisation with the same ID in a different region

  • Fixed issue that caused backdating scheduled forms that had their schedule overridden at organisation-level to fail

Major Bugs

  • Fixed an issue that would cause schedules to not update correctly when observing an equipment custom field

  • Fixed issue with weekly schedules not getting updated correctly when edited to add more days of the week

  • Fixed issue with Form Reports export not escaping quotes correctly, causing broken CSVs

  • Fixed an issue where sometimes completing a form with a Maintenance Value question would not record all equipment details in the Completed Form

  • Fixed an issue that allowed users to save Quiz forms on mobile as a draft — they will now always be required to complete the whole quiz

  • Fixed issue with sensor "out of range" time not always getting respected

  • Fixed an issue where numeric scheduled tasks would sometimes be duplicated

Minor Bugs

  • Fixed issue that caused some columns to not be visible in the Completed Forms page on low resolution screens

  • Fixed issue where not all columns were exported correctly as CSV in the Completed Forms page

  • Fixed issue with AI Form Builder not dealing with collapsible panels correctly

  • Fixed issue with AI Form Builder trying to add "correct answers" to questions in forms that are not a Quiz

  • Fixed an issue where sometimes navigation elements would get obstructed by System-level UI on Android and iOS

  • Fixed an issue that prevented users from picking a date very far in the future when answering Maintenance Value questions on the mobile app

  • Fixed forms caching not clearing correctly when the onboarding wizard was re-run

  • Fixed issue that caused Visitors to be attributed to the "New Staff" statistic in the organisation dashboard. They will now only count towards this if they are promoted to another Access Level (e.g. Tablet)

  • Fixed an issue where the default Visitor Register acknowledgments were not formatted properly

  • Fixed an issue where sometimes the group name would disappear from the top bar in the admin console while navigating through the application

  • Fixed some styling issues in the Sensors widget in the admin console dashboard which caused some data to be obstructed

  • Fixed issue where the Staff Training Summary shown at Group-level wasn't always getting updated correctly

  • Fixed formatting for Form Reports and Food Plan emails in SFP

  • Fixed some visual inconsistencies in the Form Builder where the "needs your attention" icon on questions would sometimes flicker when opening a form

Improvements

  • Updated yellow colour for Tasks so it's more distinct from the orange colour. The colour has also been added as text everywhere it's displayed to avoid confusion
