Receiving a Delivery

For: Admins and Managers

Safe Food Pro includes a default Receiving a Delivery form that lets your team log incoming goods directly from the app. Every delivery is timestamped, linked to a supplier, and stored in the Admin Console — giving you a full record for audits and supplier traceability.

Note: Your suppliers must be added to Safe Food Pro before your team can log deliveries. See Adding Suppliers for Deliveries/Maintenance to set these up first.


Logging a delivery

Your team logs deliveries from the mobile or tablet app. The form is set to Ad Hoc by default, meaning staff can complete it at any point during their shift as deliveries arrive.

  1. Log in to the Safe Food Pro app.

  2. Tap the green + icon in the bottom right corner.

  3. Select Receiving a Delivery from the list.

  4. Tap Supplier Name and select the relevant supplier from the dropdown.

  5. Fill in the delivery details, including temperatures and condition of goods, and Batch ID

  6. Sign off the form using your PIN.

The completed form is saved automatically and available to review in the Admin Console.


Reviewing delivery records

Admins and Managers can view all completed delivery forms from the Admin Console.

  1. Log in to the Admin Console.

  2. Navigate to Reports and select Completed Forms.

  3. Filter by form name or date range to find specific delivery records.

  4. Select any entry to view the full form, including supplier, temperatures, and the staff member who completed it.

Tip: Use Advanced Search within Completed Forms to search across all delivery records by supplier name or product. This is particularly useful if a supplier contacts you about a recall. See [How to trace a supplier recall] for the full workflow.


Logging multiple deliveries per day

If your kitchen receives several deliveries throughout the day, you can click the Add Section at the bottom of the form.

Or, enable Repeat Mode on the Receiving a Delivery form. This allows staff to complete the form multiple times in a single session without starting from scratch.

Scheduling the form as a daily reminder

By default, the form is Ad Hoc. If you want it to appear as part of your team's daily checklist, you can schedule it to run Daily.

  1. Log in to the Admin Console.

  2. Navigate to Forms and select Receiving a Delivery.

  3. Open the Schedule tab.

  4. Set the frequency to Daily and save your changes.

Note: If you schedule the form as Daily but don't receive deliveries every day, contact support about setting up a conditional sign-off option so staff can mark the form complete without leaving it blank.
