Audit - Checklist
For New Zealand customers this could also be know as your Verification
We've put together a list of steps and tasks to help you prepare for your audit. Please note that we are not food safety experts. However, with some experience helping our customers, we've gotten some understanding in what auditors tend to look for in Safe Food Pro accounts during an audit. Hopefully this gives you some pointers in finding key information.
It's always good to double-check that you've followed the right procedures and completed the correct forms, although not all of these steps may apply to you based on your Food Plan or Food Control Plan.
Staying Compliant to your Food Plan
In our years helping customers with their audits, we've found that the most commonly missed forms are:
- Deliveries
- Incidents
- Training Forms
- Cooking Forms
- Equipment Maintenance
(NZ Only) — Knowing where to find your Simply Safe And Suitable FCP Template
Make sure you and your staff know where to find your Simply Safe and Suitable FCP Template. Your auditor may ask to see this on the day.
To Find This:
- Log into your Admin Console
- Navigate to Resources
- Open your MPI folder
- In the list, find Simply Safe and Suitable May 2023
Logging Deliveries
Every delivery should be recorded in case of a supplier recall. You should be recording the temperatures of any chilled goods.
To log deliveries:
- Log into the Mobile App
- Click the Green Plus Icon in the bottom right-hand corner
- In the list, find Receiving a Delivery
- Input your delivery details
Logging Incidents or Troubleshooting Forms
Even if it's minor, auditors love seeing that you are logging incidents and learning from them. All of your Incident Forms should be completed as and when needed. This means they can be found in your Ad-Hoc form list.
- Log into the Mobile App
- Click the Green Plus Icon in the bottom right-hand corner
- In the list, find the relevant troubleshooting form
Some common ones to consider are:
- Customer complaint
- Incident Log - When Something Goes Wrong
- Unplanned Maintenance Register
Check your Cooking Forms
We find people can miss the Cooking and Cooling forms, so reference those with your Food Control Plan and make sure you are filling out the right forms.
Equipment
- Hot & Cold Probe Thermometer Calibration Forms
- Any Maintenance forms if your Equipment has been maintained since your last Audit
Staff
- Record any Staff Sickness
- Delete any Staff that have left
- Complete Staff Inductions
- Complete Training for all staff in relevant sections of the Food Plan depending on their role. Use the Specific Training of Business Procedure/Method Form
Reporting
Now that you have filled in the relevant forms, you need to be able to show them easily.
To show your auditor your forms:
- Log into the Admin Console
- Navigate to Reports (you should see the Completed Forms page)
- Use the Filters, and Date ranges to narrow down your results
