Assigning Equipment to QR Codes

QR Code stickers create a physical link to a digital equipment profile in your Safe Food Pro app. By placing a sticker on an item like a fridge, oven, or cool room, you allow your team to simply scan the code to instantly access its profile, view its latest temperature logs, check its cleaning schedule, or complete a related form.

This guide covers how to apply, assign, and use your QR code stickers in your food service environment.



Step 1: Applying the Sticker


For the best adhesion and scannability in a busy kitchen, it's important to apply the sticker correctly.

  1. Choose a clean, flat, and smooth surface on the equipment that is easy to access for scanning.
  2. Wipe down the surface with an alcohol wipe to remove any dirt, grease, or food residue.
  3. Dry the surface completely.
  4. Peel the sticker from the sheet and apply it firmly to the prepared surface.
  5. Press down from the centre outwards to remove any air bubbles.

Best Practices for Sticker Placement In a kitchen environment, avoid placing stickers on high-wear areas or surfaces that are frequently exposed to harsh cleaning chemicals or extreme heat. For a fridge or cool room, the door frame is often a better choice than the handle.



Step 2: Assigning the QR Code to Equipment


Once the sticker is on the item, you need to link it to the equipment's profile in the app. This is done on the mobile app.

Before you start, ensure you are logged into the Safe Food Pro mobile app.


Method A: Scanning the QR Code First (Recommended)


This is the fastest way to link a code to either a new or existing piece of kitchen equipment.

  1. Log into the Safe Food Pro mobile app.
  2. From the Equipment page, tap the Scan button in the top right-hand corner. This will open your camera.
  3. Scan the QR code sticker.

    The app will then ask what you want to do. You can either:

    • Assign to new equipment: This will launch the new equipment wizard to create a profile for a new item (e.g., a new thermometer or mixer).
    • Assign to existing equipment: This will open your equipment list. Simply tap the item you want to link the code to and select "Assign QR Code" to confirm.

Method B: Assigning from an Existing Equipment Profile


If you are already viewing an item's profile, you can assign a code directly from there.

  1. Log into the mobile app and navigate to the Equipment list.
  2. Tap on the item you want to assign the QR code to (e.g., "Main Kitchen Walk-in Freezer").
  3. Tap the three dots (...) in the top right-hand corner to open the menu.
  4. In the menu, select Assign QR code.
  5. Your camera will open. Scan the QR code sticker.
  6. Select Done to confirm the link.


Step 3: Scanning a Linked QR Code


Once a QR code is assigned, any user can scan it to view the equipment profile and perform their checks.


Using Your Phone's Camera


  1. Open your phone's default Camera app.
  2. Point it at the QR code.
  3. Tap the link that appears on your screen. This will automatically open the correct equipment profile inside the Safe Food Pro app, ready for a temperature check.

Using the In-App Scanner


  1. Open the Safe Food Pro app.
  2. From Equipment list, tap the Scan button.
  3. Scan the QR code. The equipment profile will open directly.


Re-assigning or Replacing a QR Code


If a sticker becomes damaged from cleaning or wear and tear, simply apply a new sticker to the equipment and follow the steps in "Method B: Assigning from an Existing Equipment Profile." When you scan the new QR code, the system will automatically overwrite the old code and link the new one to the profile.
